What personal data we collect

Depending on how you interact with us (as a vendor, landlord, tenant, first-time buyer, or investment/JV partner), we may collect:

  • Your name, phone number, and email address
  • Property details you provide to us (address, condition, income figures, etc.)
  • Correspondence between you and us
  • Standard technical data such as your IP address and browser type, collected automatically by our website hosting platform

How we use your data

We use your data to respond to enquiries, assess potential property acquisitions, manage tenancies and landlord agreements, and communicate with investment and JV partners. We rely on the following legal bases, depending on the situation:

  • Legitimate interest, for responding to your enquiry and assessing a potential transaction
  • Contract, where we enter into a tenancy, joint venture, or purchase agreement with you
  • Consent, where you opt in to receive marketing communications from us

How long we keep your data

As a general approach:

  • Enquiry data is retained for up to 24 months if no transaction proceeds
  • Tenancy and landlord agreement data is retained for 6 years after the relationship ends, in line with standard UK record-keeping practice
  • Investment and JV partner data is retained for the duration of the relationship, plus 6 years for tax and legal record-keeping

Who we share your data with

We may share your data with our professional advisers, such as solicitors and accountants, where necessary to progress a transaction, and with regulatory bodies where required by law. We do not sell your personal data to third parties.

Cookies and website analytics

Our website is hosted on Netlify. Netlify does not set tracking or advertising cookies by default. If we later add a contact form, analytics, or marketing tools to the site, this policy will be updated to reflect exactly what is in use.

Your rights

Under UK GDPR, you have the right to access, correct, or request deletion of your personal data, to object to or restrict certain processing, and to data portability where applicable. To exercise any of these rights, contact us at enquiries@khellsestates.com.

You also have the right to complain to the Information Commissioner's Office (ico.org.uk) if you believe your data has been mishandled.
